A Lisbon-region wedding often involves multiple journeys throughout the day: guests at hotels, ceremony, lunch, venue, and late-night return. Coordinating it all with multiple taxis or Ubers is chaotic - and expensive. Here is how we think about wedding transport based on dozens we run per year.

How many vehicles will you need?

Rule of thumb: 1 16-seater minibus per 14 guests sharing hotels. Guests arriving by their own means do not count. For a 100-person wedding where 50 are coming from Lisbon hotels, 3-4 minibuses usually suffice.

For the couple: Mercedes executive sedan E or S class. For the wedding party: 7-seater minivan. For close family: separate minibus from general guests (different timing).

The typical wedding-day schedule

  1. 11 AM - Guest pickup at Lisbon hotels (Avenida, Chiado, Baixa). Typically 2-3 stops per vehicle to reduce cost.
  2. 12 PM - Transport to church/registry in Cascais, Sintra, Mafra, or wherever. Guests first, couple last.
  3. 1:30 PM - Transport to the venue (Quinta da Bichinha, Quinta de Santo António, Quinta do Torneiro, etc.). Here the driver can wait OR return to Lisbon for other services and come back in the evening.
  4. Midnight-4 AM - Return to hotels. This is the most important journey and the most frequently forgotten. Tired guests, alcohol, and taxis hard to find at dawn far from the city. Book these journeys in advance.

How much does it cost, in rough orders?

For an 80-100 guest wedding in the Cascais/Sintra area with managed transport for 50 Lisbon hotel guests:

  • Couple's sedan: €250-400 (full day, with decoration if requested)
  • 3 16-seater minibuses for guests (pickup + ceremony + venue + late-night return): €800-1200 per vehicle
  • Typical total: €3000-4500 for a full transport package

By comparison, 50 guests using Uber/taxi individually would easily run €3500+ just for the journeys, with enormous risk of people stranded without transport at dawn.

Details that make the difference

  • Guest list per vehicle. Do not let guests choose which vehicle to take. Assign in advance to avoid chaos.
  • Clear pickup point. "At the hotel door" is not enough - specify if it is main entrance, lobby, or adjacent street.
  • Buffer time. Add 30 minutes margin on the journey to the ceremony. Lisbon traffic on Saturday lunchtimes is unpredictable.
  • Notify changes early. Extra guests at the last minute? Ceremony time change? Tell the operator 48 hours before.
  • Couple's car decoration. We coordinate simple arrangements (ribbons, flowers). For elaborate arrangements, ask the wedding florist to deliver directly to the driver.

When to book

For peak dates (May-September, first Saturdays of the month, June), book 3-6 months in advance. Most-requested dates sell out quickly. For the rest of the year, 4-6 weeks is comfortable.
